Refund Policy

This Refund Policy explains how cancellations, refunds, and billing disputes work for subscriptions to the DialVera AI receptionist service (the "Service") offered by DialVera("DialVera," "us," "our").
Subscriptions are billed in USD through Stripe. Manage your plan, payment method, and invoices from the Stripe billing portal in your dashboard.
DialVera sells digital software subscriptions delivered online. AI call handling incurs real per-minute telephony and processing costs. There are no physical goods shipped.
1. 30-day satisfaction guarantee
If you are not satisfied with the Service, contact us at support@dialvera.com within 30 days of your initial paid purchase or the date your free trial converts to a paid subscription to request a refund on that first payment.
How refunds are calculated. Refunds on your first paid charge are prorated based on unused included AI minutes during that first paid billing period. Only AI minutes consumed after your first paid charge counts toward proration — free-trial minutes do not. AI minutes you have already used are non-refundable because they incur real service costs.
Formula: Refund amount = subscription price × (included AI minutes − AI minutes used) ÷ included AI minutes
Example: on Starter ($99/month, 200 included AI minutes), if you used 50 AI minutes during your first paid billing period, your refund would be $99 × (150 ÷ 200) = $74.25.
If you used zero AI minutes during your first paid billing period, you receive a full refund. If you have used all included AI minutes in that period, the prorated subscription refund is $0. This guarantee applies only to your first paid charge on a new subscription — not to renewal charges after the initial 30-day period, except where required by law.
Overage is never refunded. Usage-based overage charges billed above your included minutes are always non-refundable.
2. Subscription charges
Paid plans are billed monthly in advance through Stripe. When you subscribe, you authorize recurring charges until you cancel. Current prices are shown on our pricing page and at checkout:
- Starter: $99/month (USD)
- Pro: $199/month (USD)
- Growth: $399/month (USD)
Included AI minutes and overage rates by plan:
- Starter ($99/mo): 200 included AI minutes per month — overage protection $0.45/min (monthly cap applies, default $40)
- Pro ($199/mo): 450 included AI minutes per month — overage protection $0.38/min (monthly cap applies, default $40)
- Growth ($399/mo): 1000 included AI minutes per month — overage protection $0.32/min (monthly cap applies, default $40)
Subscriptions renew automatically each billing period unless you cancel before the renewal date. Applicable sales tax, VAT, or similar taxes may be calculated and collected by Stripe at checkout based on your location.
3. Free trial
The Starter plan includes a 7-day free trial with 30 AI minutes. A valid payment method is required at signup. Unless you cancel before the trial ends, your subscription converts to a paid Starter plan at $99/month (USD) and your payment method is charged automatically. Trial minutes do not roll over.
If you cancel before the trial ends, you will not be charged. If you are charged after a trial and are within the 30-day guarantee window, you may request a prorated refund as described in section 1. Trial AI minutes used before your first paid charge are not part of the proration calculation for that payment.
4. Refunds after the guarantee period
After the 30-day guarantee period, monthly subscription fees are non-refundable for the current billing period, including partial months. If you cancel, you retain access through the end of the current paid period.
Billing errors. If you were charged incorrectly due to a technical or billing error on our side, contact us within 30 days and we will review the charge. Approved corrections may be issued as a refund or account credit.
5. Cancellation
You may cancel your subscription at any time:
- Through your DialVera dashboard billing settings
- By emailing support@dialvera.com
- By calling +8801798604311 during business hours
Cancellation stops future recurring charges. It does not entitle you to a refund for the current billing period after the 30-day guarantee window. Your account remains active until the end of the paid period unless we suspend it earlier for non-payment or Terms violations.
After cancellation, your data is handled according to our Privacy Policy.
6. Chargebacks and disputes
If you have a billing concern, please contact us at support@dialvera.com before initiating a chargeback or payment dispute. We aim to respond within 2 business days and will work with you to resolve legitimate issues quickly.
